# Faculty Centre

This tutorial shows how to enter grades into PeopleSoft through the Campus Solutions Faculty Centre module.  

To access the Faculty Centre, go to the MacEwan myPORTAL at <u>[https://myportal.macewan.ca](https://myportal.macewan.ca/)</u>. There are a number of links on the left side of the page that will allow you to access things such as Outlook (the email application), paskwâwi-mostos mêskanâs (the Digital Learning Environment), the Staff Directory, and PeopleSoft. 

Select **Peoplesoft** to enter Campus Solutions:

This link will take you directly to your Campus Solutions Home Page:

The Faculty Centre tile is where you will find additional information and where to are able to work with your schedule, class, and grade rosters. 

Click on the** Faculty Centre** tile.

## The Landing Page

The landing page you come to is called **My Schedule**. At the top of the page, you will see your name and two tabs: **Faculty Center** and **Search**.

# Faculty Centre Tab

The Faculty Centre Tab has three links to choose from: My Schedule, Class Roster and Grade Roster:

Select the Grade Roster tab. 

## Grade Roster

On the Grade Roster landing page select the correct term. When the grade roster for a class is available for completion, you will see another icon in the list of classes:

To make entries in the class roster, click on this icon which will take you to the grade roster page for this specific class:

1. Grade Roster Type: this field indicates if it is a midterm or final grade. MacEwan University only creates Final Grade Rosters.
2. Approval Status: there are three statuses: Approved, Not Reviewed and Ready for Review *** **Note**: if the Approved status is not entered and saved for <u>every student in the class</u>, the **grades will not be posted**
3. This is the field you enter the grade into for each individual student

### Partial Grades

If you only wish to enter some of the grades, the Approval Status can be set to “Not Reviewed” and click Save. The information you enter will be there the next time you return with updates:

### Changing Grades

If the grades have not been posted, you can return to the Grade Roster and change the Approval Status from Approved to Not Reviewed. You will then be able to change the grade(s).

If the grades have been posted, you are required to submit a Grade Change Form to the Records Unit in the Office of the University Registrar. The Grade Change Form is found in the Forms Cabinet at [https://www.macewan.ca/apply-enrol/forms-cabinet/](https://www.macewan.ca/apply-enrol/forms-cabinet/) . This form must be completed and sent to the Records Unit either via interoffice mail or scan and email to [recordsunit@macewan.ca](mailto:recordsunit@macewan.ca).

### Multiple Students With the Same Grade

If you have multiple students with the same grade, you can “batch” grade them. Check off the box at the start of each line for each student you wish to have the same grade for. Scroll to the bottom of the class list. Enter the grade each of the students should have using the drop-down menu beside the <-Add this grade to selected students button. Press the button:

You can now see that each of the checked students has a grade of B.

### Notifying Students of Posted Grades

If you wish to notify students once you have posted your grades, you can use the “Notify All Students” link at the bottom of the student list. This option functions the same as step 2.2 of this document.

### Sorting Grade Rosters

The system sort function lists students in order of their capitalized last names and then secondly, uncapitalized last names. As such, you may find students out of alphabetical sequence at the end of the list:

This can be an annoyance when you are entering grades as paskwâwi-mostos mêskanâs sorts alphabetically. Student names will be out of sequence when comparing the two. Some students have a legal last name that starts with an uncapitalized letter, the university will not change it.

A solution to the issue is to sort both the grade rosters by student ID instead of name. This will ensure the list is the same in both environments. Simply click on the header title ID in both environments before exporting:

You can sort by any of the fields you wish; however, the ID is the most effective to ensure both lists are identical.

# Search Tab

The Search Tab allows you to search for specific classes in specific terms. It is the same search functionality that students have when they are enrolling in classes. You choose a term, subject and course number and click Search:

The class will show and you click on the green arrow or class title to expand the selection:

You will now see the list of sections of FNCE 113 scheduled in the Winter 2019 term. Each section will show the enrollment numbers, reserve limits (who the class/spots belong to) and the class information:

# Troubleshooting


1. When I log into myPortal and go to PeopleSoft, the Faculty Centre tile is not showing.  
**Answer**: please contact your Chair so they can arrange access.
2. One or more of my courses are not showing in the My Schedule page.  
**Answer**: it may be too early for the class assignments to be entered into the system or an error could have been made. Be sure to contact your area’s Administrative Support person for assistance.
3. My exam(s) aren’t showing or dates are not showing.  
**Answer**: they may not be finalized or entered yet. Or you may be instructing a class that traditionally did not have a final exam assigned to it. Your area’s Administrative Support person should be able to assist you.
4. I can’t see all of my students listed on the Grade Roster.  
**Answer**: remember if there are more than 20 students, they will show in two pages so you will need to click on the arrow at the bottom as indicated in the <u>2.3.3 section </u>of instructions to see all the records.
5. When I do a search, the class I’m looking for is not showing but I know it’s being offered.  
**Answer**: the search function automatically only looks for classes that have space available. To also see classes that are full or waitlisted, you must UNcheck the “Show Open Classes Only” box before clicking Search.
6. When I enter the Faculty Centre and click on Class Roster, it gives me an error even though I know I have classes:
  **Answer:** Return to the **My Schedule** page and click on the roster icon for the class of your choice. This should bring the class roster to the screen.
