If you are a manager/supervisor who is onboarding a new staff member to their team or a new staff member starting in a different department or new to the University, here is what you need to know about the process of getting access to PeopleSoft Campus Solutions.

# **DEFINITIONS**

## **What is a security role? **

Access to pages in PeopleSoft is granted through security roles. Each role can give access to multiple pages in PeopleSoft and is assigned to a staff member either by using the combination of department ID and job code or by assigning it to their unique OPRID. 

## **What is a job code?**

Each position at MacEwan has a 6-digit alphanumeric code associated with it. It usually starts with two letters (such as MS, FA, OS, CW, AG, OT) followed by four digits

## **What is a department ID?**

Each department has a five-digit ID associated with it. 

# **PROCESS**

## **New staff member hired into an EXISTING position within the department OR EXISTING staff member CHANGING positions/departments**

**No action required for the OUR: **Once you have reached out to HR to confirm the hiring details and they have completed the hiring process, access to PeopleSoft will be automatically assigned through a nightly process based on existing security rules for that specific department and job code the staff member will be starting in.

## **Existing staff member changing positions/departments**

HR, Finance, and the OUR will also review which security roles the staff member will inherit from existing staff in that position (if applicable), which security roles the staff member previously had access to, and which ones they should be able to keep in their new position, as well as which ones will be removed. 

### **Exception**

If this person will also be performing additional duties compared to the previous staff member or other staff in the same position, a request would need to be made (to request the additional access only) by submitting a ticket [link]. (Note: If the staff member needs access to Finance or HR pages, you would also need to contact Finance and/or HR by submitting a ticket through the <u>[MacEwan Help Centre portal](https://helpcentre.macewan.ca/page/gethelp)</u>)

- Information you need to provide for the request:
  - Staff OPRID (MacEwan email address without the @macewan.ca
  - Staff full name
  - Department ID (if known)
  - Job code (if known)
  - Which additional pages the user needs access to in PeopleSoft and whether they need View Only or Edit/Update permissions
  - Approval of the relevant manager (if the manager wasn’t the one submitting the request, you can tag them in a comment to request approval)

## **New/existing staff member hired into a NEW position within the department**

**Action required:** If this is a brand new position (no previous staff were hired into this position), a ticket needs to be submitted to request access to PeopleSoft [link].

- Information you need to provide for the request:
  - Staff OPRID (MacEwan email address without the @macewan.ca
  - Staff full name
  - Department ID
  - Job code
  - Which pages the user needs access to in PeopleSoft and whether they need View Only or Edit/Update permissions
